RenewableUK HR Forum Terms of Reference

- RenewableUK HR Forum membership is exclusive to RenewableUK member companies that directly employ renewable industry employees. It is open to those working in Human Resources Management or an associated discipline within the renewable energy sector.
- The RenewableUK HR Forum shall have three Officers; Chairperson, Vice-Chairperson and Secretary who shall be appointed for a one year term through majority voting at the inaugural event.
- Activities of the RenewableUK HR Forum will be directed by the HR working group – a subset of the RenewableUK Skills & Education Strategy Group (SESG). Membership of this steering group will be restricted to HR professionals from companies with representation on the SESG. The steering group will set overall agendas for the forum and to aid its administration.
- The RenewableUK Chairperson and CEO may attend any meeting of the RenewableUK HR Forum.
- The RenewableUK HR Forum may invite non-members to attend meetings when their specialist expertise may be required. For the avoidance of doubt, such attendees shall not have rights to attend events of the Forum on a continual basis.
- New members of RenewableUK will have the opportunity to request their allocation of representatives on the RenewableUK HR Forum.
- Members are encouraged to take a share of the workload arising from any agreed actions.
- All members must endeavour to act in the best interests of the industry as a whole rather than attempt to further the individual interests of the organisation they represent. The strength of the Group is in the sharing of knowledge and experience to further the success of the sector.
- All members of all Groups will be bound by the terms of a confidentiality agreement with RenewableUK. Any breach of the agreed code will effect the immediate termination of the individual’s membership of the HR Forum and possibly their company’s membership of RenewableUK.
- Recruitment consultants are not allowed to join or participate to ensure openess. Disclosing other members' issues, challenges, or confidential information to third parties shall be cause for immediate suspension of membership.
- In the event of cancellation or withdrawal from membership of RenewableUK, representation on all Groups will cease with immediate effect.
- Membership of the Group shall be automatically terminated in the event of any member ceasing to be directly employed by the company they represent on the Group
- For the avoidance of doubt, members will not be reimbursed for any expenses incurred for attendance at meetings or for work undertaken on behalf of the Group, unless otherwise agreed in advance with the RenewableUK CEO.
- Members of Groups may NOT act as an official representative of RenewableUK in any external communication or other committee without the expressed consent of the RenewableUK CEO or Chairperson.
- It must be clearly understood that while Groups provide RenewableUK with valuable expertise and advice, the final determination of RenewableUK’s priorities, work programmes and allocation of resources rests with the RenewableUK Board and CEO.
- The continuation of the RenewableUK HR Forum and these ToR will be reviewed in June 2011, continued RenewableUK support for the functioning of the HR Forum is subject to the discretion of the RenewableUK Board.
Responsibilities of the appointed Chairperson:
- To drive discussion and move along the agenda at HR working group meetings and HR Forum Events.
- Suggest items for agendas to the RenewableUK Skills & Education Policy Officer and sign off of agendas.
- Sign off actions.
- Report to SESG on HR Forum related activities.
- Act as impartial representative for British renewable energy industries at relevant HR related events where RenewableUK staff are unable to do so.
Responsibilities of the appointed Vice-Chairperson:
- Takes on all of the above in the absence of the Chair of the RenewableUK HR Forum.
Responsibilities of the appointed Secretary:
- Coordinating activities suggested by HR Forum members and the HR working group.
- Recording the achievements of the HR Forum and distributing records to RenewableUK HR Forum members.
- This role is usually fulfilled by RenewableUK staff.
